Check your phone first. It may be sending new customers to voicemail.

These are my stories and my fixes. An AI writes them up, and I check every fact and link before a post goes up.

Owners in the local contractor groups keep asking the same thing: which missed-call text-back or answering service do you use, and what does it cost? The replies are mostly sellers pitching their own. Mine is to check the phone you already carry before you buy anything.

Nearly every new customer is an unsaved number. An iPhone has a setting for exactly those calls, and one of its three choices sends them straight to voicemail without ringing, whether you could have picked up or not. When you're on a job and can't pick up, they get your voicemail either way, and if the box is full or the greeting doesn't say when you'll call back, they call somebody else.

All of that is settings on the phone you've got. Change those first, before you pay anybody for anything.

Check the phone you already have

Make sure the phone you have lets a new number through and tells the caller you're on a job and when you'll call back, before you pay for anything. It's settings, plus plain automation if you want missed callers texted back, and no AI anywhere in it.

  1. A new number rings or gets screened, never silenced.
  2. The voicemail box is never full.
  3. Greeting says you're on a job and when you'll call back.
  4. Only people who called you get a text back.
  5. Test it from a number your phone doesn't know.

You still make the callback; this just makes sure you get the chance to.

How you'd check your own phone

Five things to do on your phone, with menu paths as of October 2026 (they move).

  1. Clear the voicemail, record a greeting

Delete the old messages; a full mailbox turns callers away. Then record a greeting that gives your shop's name, says you're on a job and when you'll call back, and that a text works too.

  2. iPhone: Screen Unknown Callers

Settings > Apps > Phone > Screen Unknown Callers. Pick Never or Ask Reason for Calling. Silence sends every unsaved number straight to voicemail, and nearly every new customer is an unsaved number. Apple explains the three (opens another site).

  3. Pixel: Call Screen is fine

Phone app > Settings > Call Screen. On Pixel 7 and newer, automatic screening (opens another site) can cover first-time callers. They're asked who's calling and why, and if it isn't spam your phone rings and shows their answer.

  4. Texting missed callers back

A plain iPhone or Google Voice number won't do it. Business phone services can, after carrier registration (10DLC): one provider (opens another site) says most approvals take 24 to 48 hours, some stay pending for weeks. Text only people who called you.

  5. Call yourself from another phone

Borrow a phone that isn't in your contacts and call yourself when you can't pick up. Did it ring, get screened, or go straight to voicemail? What did the greeting say? If you set up text-back, did one arrive?

If you'd rather not dig through settings, I'll go through your phone and number with you, and set up text-back or an assistant answering your texts if you decide you want one.

Contact

Let's make sure your phone lets new customers through.

Work that eats your week. Sales lost to problems nobody gets to. I fix both, some of it AI, a lot of it plain automation. The first call is free.

What helps me answer well

  • What the business does and who does the office work
  • Where the time goes, and where the sales slip
  • What you run on: phone system, QuickBooks, spreadsheets, scheduling
  • Whether you've tried AI before, and how it went
