You're already paying for quote follow-ups. Turn them on.

These are my stories and my fixes. An AI writes them up, and I check every fact and link before a post goes up.

You quote the job in the driveway, the customer says they'll think about it, and you're on to the next one. The follow-up doesn't happen, and the quote sits in your software with the others.

In the local groups, owners complain about paying for a pile of software that doesn't talk to each other. Then they ask what else they should buy.

A Virginia HVAC company (opens another site) told ACHR News its follow-up sales on unsold estimates rose 25% after it automated estimate follow-ups (they used an AI service for it). I can't tell you what your number would be. Theirs came out of quotes they'd already written.

Before you buy anything else, open what you already pay for and look for the switch. Jobber and QuickBooks Online both have quote or invoice follow-up built in as plain automation, no AI involved, and I'd guess it's switched off in most accounts.

Switch on what you already pay for

Quote and invoice follow-ups are plain automation, already built into Jobber and QuickBooks Online. Switch them on and write the messages the way you'd text a customer yourself.

  1. Every quote still waiting gets a follow-up.
  2. The messages read like you typed them.
  3. Two or three reminders, then stop.
  4. Past-due invoices get reminders too.
  5. You call the big ones yourself.

The software sends the reminders; you still make the call that closes the job.

Where the switches are

Menu paths as of October 2026 for Jobber, Housecall Pro and QuickBooks Online, plus the three messages I'd write.

  1. Jobber: quote follow-up

Gear icon > Settings > Automations (opens another site) (admin users). Quote follow-up emails or texts clients about quotes still awaiting a response, up to two reminders. Invoice follow-up sits beside it for past-due invoices, with one-click payment. Both need the Connect plan or higher.

  2. Jobber: review requests

Marketing > Reviews (opens another site), in Jobber's Marketing Suite. You pick the trigger: after a visit is completed, a job is closed, or an invoice is paid. I'd pick invoice paid: they're done and settled up. One request per client every six months.

  3. Housecall Pro: review timing

Review requests go out on their own when a job is completed. Set the timing under Settings > Notifications > Reviews > Initial request > Request timing (opens another site). For estimate follow-up, check your own settings; I haven't verified a path for it.

  4. QuickBooks Online: invoice reminders

Gear > Account and settings > Sales > Reminders (pencil icon) > turn on automatic reminders (opens another site). Up to three reminders, up to 90 days before or after the due date, and only for invoices you've already emailed. So email them, or nothing goes out.

  5. Write your quote follow-up

A text the day after the quote, another a few days later, then a phone call from you on the big ones. Write the two texts the way you'd text a customer yourself, and paste them into whichever tool you use.

If you'd rather not go hunting through menus, I'll switch on what you already pay for and write the messages with you. You'll read every one before a customer does.

Let's follow up on the quotes you've already written.

Work that eats your week. Sales lost to problems nobody gets to. I fix both, some of it AI, a lot of it plain automation. The first call is free.
